Oracle cuts the time from job requisition to employment offer by nine days

Business challenges
Oracle Human Resources (HR) manages employee-related processes for 135,000 Oracle professionals across 90 countries—from the initial job application to training to retirement. Each year, team recruiters oversee the hiring of between 22,000 and 25,000 candidates—while ensuring that after being hired, these employees become as productive as possible in the shortest amount of time.
Oracle HR also supports managers needing to exchange information about employees moving across divisions. The team processes about 10,000 such information exchanges weekly. Without this service, Oracle’s business divisions would be unable to function properly.
To cope with the huge volume of data for existing employees and new hires, the Oracle HR team relied heavily on disconnected legacy systems and processes. Additionally, the online candidate-facing recruiting solutions were manually intensive and clunky. New prospects found creating an Oracle application account time-consuming and discouraging. The team wanted to make recruiting new candidates more efficient and attractive in order to increase the talent pool.
Oracle business managers also needed more support in developing their employees’ skills and talents. Instead of patching and maintaining legacy processes and technology, the HR team decided to migrate to a unified cloud-based recruitment and employee experience management platform.

To reach its goals, Oracle HR required a powerful, enterprise-strength cloud platform that would evolve regularly for future companywide career needs. Therefore, the team selected a set of Oracle Cloud HCM recruiting, employee experience, career management, and learning modules. Besides the robust and extensive functionality these would deliver, moving to this stack meant world-class Oracle engineers and support staff would regularly update and improve the system.
Specifically, the team selected Oracle Journeys because of its comprehensive capabilities to manage an employee’s complete career in Oracle—with a consistent experience and feel. Because of its integration with Oracle Cloud Human Capital Management (HCM), Oracle Journeys draws from one single system of record. To boost hiring and onboarding processes, the team rolled out Oracle Recruiting and Oracle Guided Learning, as well.

Results
The systems were launched in the five countries where Oracle is most active in hiring: the United States, United Kingdom, India, Romania, and the Philippines. The adoption of Oracle Journeys, Oracle Recruiting, and related Oracle cloud solutions enables a wide variety of both hard and soft benefits for these regions.
The new systems were logically sequenced to process employees in proper steps, according to established Oracle HR team workflows. They’re also more streamlined and intuitive, and eliminate data entry redundancies. For instance, creating a job requisition in Oracle Recruiting requires only 5 steps—down from 19—with the time to post a job dropping from 10 minutes to only 3 minutes, saving hiring managers some 4,000 hours annually.
The time from job requisition to job offer dropped by 9 days. Within six months, 300 recruiters processed over 34,000 job requisitions, 20,000 offers, and 17,000 hires—30% of those as internal hires, in accordance with company policy.
Oracle’s career hub also contributed to greater efficiency in the hiring processes, with a corresponding jump in applicants. Instead of candidates establishing a full account on the old architecture, they input just a phone number or email instead. This doubled the number of applicants and improved the odds of finding the most appropriate hires. Through Oracle Guided Learning, 3,500 employees participated in Oracle HR instructional programs 11,000 times—reducing help desk calls by an estimated 50%.
The integrated platform provided a single career hub for the company. Managers and employees alike have accurate data and can track program progress as needed. From the first day of employment, staffers can process requests for items like laptops or security badges, and access the learning and resources they need. Employees also easily update the system to reflect personal life changes, such as marriage or the addition of children.
Additionally, the Oracle platform delivered key capabilities—extensibility over the cloud, mobile access, connectivity to a variety of data sources (including email and paper documents), and analytics—including machine learning.
