Before You Begin
This 20-minute tutorial shows you how to import bulk-loading spreadsheets available from Cloud Customer Connect and share them with your users.
Background
HCM Spreadsheet Data Loader (HSDL) enables you to upload data into the Oracle HCM Cloud from spreadsheets which are configured to support your use cases, such as New Hire or Bonus Payments.
You generate a spreadsheet for bulk-loading data from a spreadsheet template which may be preconfigured or may be unique to your company. Spreadsheet templates can be shared with specific job roles, so access to bulk-loading is secured.
This tutorial explains how you can download example HSDL templates from Cloud Customer Connect, edit them for your requirements and assign the roles that can use the them.
What Do You Need?
- A user account that has access to manage HCM Spreadsheet Data Loader templates.
The Configure HCM Spreadsheet Data Loader Security tutorial explains how to configure a role with access to use HSDL.
- A Windows machine with the Desktop Integrator installed. Downloaded this from the Tools menu in the application. Desktop Integrator is not available on the Mac operating system.
Downloading Templates from Cloud Customer Connect
HSDL templates can be found on the HCM Spreadsheet Data Loader Forum on Cloud Customer Connect.
- To access the forum from the Cloud Customer Connect home page, click Product Forums > Human Capital Management > HCM Integrations.
- On the HCM Integrations forum, click HCM Spreadsheet Data Loader.
- Click the template category for the type of template you want to import. For example, User Account Management.
- Click the template you want to import. For example, Add or Remove User Account Roles.
- Each HSDL Template topic follows provides:
- A description of the template and the actions that are supported.
- Links to related topics
- An xml template definition
There may also be a html document which lists the attributes included in the template.
- Click the xml file to download the template definition.
Importing Spreadsheet Templates
- Log in to the application with a user that has the access to maintain HSDL Templates.
Note: The Configure HCM Spreadsheet Data Loader Security tutorial explains how to configure a role with access to use HSDL.
- From the home page click My Client Groups > Data Exchange > Spreadsheet Templates
- Click Import.
- On the Import dialog window, specify a name that describes the use case, such as New Hire.
- A code will be defaulted based on the name specified but you can override this. It just needs to be unique on your environment.
- Use the Import field to select the file you downloaded from the HCM Spreadsheet Data Loader Forum.
- Provide a description so business users can understand when to use this template.
- If the template is going to be legislation specific, specify the Legislative Data Group that the template is applicable for.
Tip: You can copy the name and description from the Cloud Customer Connect topic.
- Click OK.
You should recieve confirmation that the template was imported with no errors. Click OK.
Tip: If errors were encountered, download the log file for more information.
- You will be returned to the Spreadsheet Templates page. You can now edit or assign roles to the template.
Securing Template Access
If you want business users to have secured access to individual spreadsheet templates you need to configure the template to assign the roles that can use the template and what access they have.
Note: Some objects don't support business users loading data and you can't share templates based on these objects with business users.
- If you have closed your Spreadsheet Templates task, you need to reopen it:
- From the home page, click My Client Groups > Data Exchange.
- Click Spreadsheet Templates
- Click the name of your template to edit it.
- On the Define tab, review the value for the Assign Roles to Template field found in the Template Security section. Only if it is 'Enabled' can you continue with assigning role access to your template.
- If the Upload Data As field has a value of Elevated User only users with access to all templates can use this template and you can't assign roles. Change the value to Session user.
Note: This field is read-only when Assign Roles to Template has a value of Disabled.
- Click Role Access.
- Click the Add icon on the Permitted Data Set Operations table toolbar.
- Search for and select the job role that should have access to the template
Click Add.
- Configure the data set operations users with the job role should have:
Operation Access Create Allows users with this role to create new data sets. Save Data Set changes can be saved to the staging tables. Upload Data Sets can be uploaded in to the Oracle HCM Cloud. View All All data sets can be downloaded, not just those created by the user. Note: The View All option is usually reserved for users who need to review and upload data sets created by others.
- Click Save.
Configuring Template Parameters
There are a number of parameters available that can be used to override default processing. For example, you can enable incremental events and audit changes uploaded by a spreadsheet.
Note: Events and audit must be enabled in the application for the object the template loads data for, for these parameters to have any effect.
- If you have closed your imported template, you need to reopen it:
- From the home page, click My Client Groups > Data Exchange.
- Click Spreadsheet Templates
- Click the name of your template to edit it
- On the Define tab, click the Add icon on the Template Parameters toolbar.
- On the Search Template Parameters page, click Search to list all available parameters.
- Review the list of parameters and their default values to determine if you need to override the default.
For example, you may want to enable events or audit data.
Select the parameter to override and click OK.
- The parameter is inserted into the Template Parameters table. Specify the value for the parameter and click Save.
Repeat as required.
Activating Your Template
Most templates available from Cloud Customer Connect will have draft status. In order for business users to access the template it needs to be activated.
- If you have closed your imported template, you need to reopen it:
- From the home page, click My Client Groups > Data Exchange.
- Click Spreadsheet Templates
- Click the name of your template to edit it
- On the Define tab, update the Status field to Active.
Click Save.
Note: Once you've activated a template you are limited as to the edits you can make to it. Activating a template should be your last step.
