Overview

HCM Cloud applications have two types of patches you can receive that are documented in this What’s New:

  • Release Updates (22A, 22B, 22C, and 22D)   
  • Optional Monthly Maintenance Packs to each update

It is important for you to know what Release Update your environment is on. You can find this in your Cloud Portal.

Feature Summary

Column Definitions:

Report = New or modified, Oracle-delivered, ready to run reports.

UI or Process-Based: Small Scale = These UI or process-based features are typically comprised of minor field, validation, or program changes. Therefore, the potential impact to users is minimal.

UI or Process-Based: Larger Scale* = These UI or process-based features have more complex designs. Therefore, the potential impact to users is higher.

Features Delivered Disabled = Action is needed BEFORE these features can be used by END USERS. These features are delivered disabled and you choose if and when to enable them. For example, a) new or expanded BI subject areas need to first be incorporated into reports, b) Integration is required to utilize new web services, or c) features must be assigned to user roles before they can be accessed.

Reports plus Small Scale UI or Process-Based new features will have minimal user impact after an update. Therefore, customer acceptance testing should focus on the Larger Scale UI or Process-Based* new features.

Absence Management

Oracle Absence Management is a configurable and flexible global solution that enables organizations to manage absences of their workforce. The framework provides ability to define both complex and diverse absence plans. It integrates with the Oracle Cloud Global Payroll and Time and Labor products and provides dedicated work areas for the roles of Administrator and Employees. Simplified user interface is provided for employees’ absence data entry.

Process Absences Automatically When Employee’s Work Schedule Changes

Global Absences use HCM Events to respond to certain Core HR transactions as they happen. The ability to automatically respond to events now extends to work schedule changes. You can now configure absence entries to automatically re-process absences when an employee’s work schedule changes across HCM.

Steps to Enable

Configuring event conditions

Here's how you configure the event processing:

  1. In the My Client Groups tab, click the HCM Experience Design Studio quick action.

  2. Click the Event Conditions tab.

  3. Click Add.

  4. Specify the necessary details of the event. In the Condition Details section, enter the specific details of the conditions of the event in which it will be triggered. You need to enter the details for how a particular data changes from old to new.

  5. Click Save and Close.

Configuring absence types

Once the event conditions are configured, you need to specify which absence types track that event and what needs to happen when the event is detected. Here’s how you configure the absence type to respond to events:

  1. Click the newly added Additional Details tab in the absence type setup page.

  2. In the Event Processing section, click Select and Add.
  3. In the Select and Add Event Processing Rule window, select the event from the Event option. You can configure how an absence type responds when this event occurs by selecting an option from the Response option.

  4. Click OK.

  5. Click Save and Close.

When you're done setting up the absence type, you can use the Process Events absence process to process all events. You can access this process from My Client Groups > Absences > Schedule and Monitor Absence Processes.

Tips And Considerations

Work schedule events will get processed when there is any change in work schedule only at assignment level. They won't get processed for changes in work schedule at other levels. The application won't generate events for changes in the following resource types:

  • Department

  • Employment Term

  • Enterprise

  • Job

  • Legal Employer

  • Location

  • Position

Retrieve Data to Reconcile Absences and Payroll Info

The Absence and Payroll reconciliation report is now delivered in the .xlsx format. This makes it very easy to open and read the report in MS Excel. Previously the output used to be in .CSV format.

After submitting the extract, you can download the reconciliation report using the following navigation: My Client Groups > Data Exchange > View Extract Results > Click on the instance name > Expand the Instance Details region and click on the Download button.

The Absence and Payroll reconciliation report is now delivered in the .xlsx format which makes it easy to open and read in MS Excel.

You don't need to do anything to enable this feature.

Option for No Carryover Added to the Carryover Limit Rule

A new option has been added to the Carryover Limit Rule called No Carryover. You can select this option  from the Year End Processing section of the Accruals tab of the absence plan setup page. Use this option to stop the application from processing any carryover, whether positive or negative, at the end of the plan term. This means that the application won’t carry the unused time-off over to the next plan term.

Get more control over carryover processing at the end of the plan year with a new option in Carryover Limit Rule called No Carryover. This option ensures that no carryover, whether positive or negative, gets processed at the end of the plan term.

Steps to Enable

You don't need to do anything to enable this feature.

Carryover Option of None Renamed to No Limit

The None option of the Carryover Limit Rule has been renamed to No Limit for better clarity. You can select this option from the Year End Processing section of the Accruals tab of the absence plan setup page. The functionality remains same. When you select the No Limit option, any remaining accrual balance will be carried over into the new plan term.

Experience better clarity in the enhanced application where the None option of the Carryover Limit Rule has been renamed to No Limit.

IMPORTANT Actions and Considerations for Absences

REPLACED OR REMOVED FEATURES

From time to time, Oracle replaces existing Cloud service features with new features or removes existing features. When a feature is replaced the older version may be removed immediately or at a future time. As a best practice, you should use the newer version of a replaced feature as soon as the newer version is available.

KNOWN ISSUES / MAINTENANCE PACK SPREADSHEETS

Oracle publishes a Known Issues document for every Update to make customers are aware of potential problems they could run into and the document provides workarounds if they are available.

Oracle also publishes Maintenance Pack and Statutory Maintenance Pack documentation of bugs that are fixed in the monthly or statutory patching.
