Overview

HCM Cloud applications have two types of patches you can receive that are documented in this What’s New:

  • Release Updates (22A, 22B, 22C, and 22D)
  • Optional Monthly Maintenance Packs to each update

It is important for you to know what Release Update your environment is on. You can find this in your Cloud Portal.

Column Definitions:

Report = New or modified, Oracle-delivered, ready to run reports.

UI or Process-Based: Small Scale = These UI or process-based features are typically comprised of minor field, validation, or program changes. Therefore, the potential impact to users is minimal.

UI or Process-Based: Larger Scale* = These UI or process-based features have more complex designs. Therefore, the potential impact to users is higher.

Features Delivered Disabled = Action is needed BEFORE these features can be used by END USERS. These features are delivered disabled and you choose if and when to enable them. For example, a) new or expanded BI subject areas need to first be incorporated into reports, b) Integration is required to utilize new web services, or c) features must be assigned to user roles before they can be accessed.

Oracle Absence Management is a configurable and flexible global solution that enables organizations to manage absences of their workforce. The framework provides ability to define both complex and diverse absence plans. It integrates with the Oracle Cloud Global Payroll and Time and Labor products and provides dedicated work areas for the roles of Administrator and Employees. Simplified user interface is provided for employees’ absence data entry.

Autocomplete Rules for Childbirth and Placement Dates Business Object in Absence Management

The Childbirth and Placement Dates business object contains planned start date, planned end date and will return to work information based on the ANC_PER_ABS_MATERNITY table. This object is mainly used to Default planned end date based on planned start date.

Delivered Rules

You can now use the new delivered autocomplete rule, Default Planned End Date Based on Planned Start Date, to default the planned end date of a maternity, paternity, or adoption leave based on the planned start date of the absence. For example, the default rule is configured to automatically set the planned end date to be 364 days after the start date. In this case, if you enter a leave using the childbirth or placement pattern starting on May 2, 2022 for an employee, the planned end date will automatically be set to April 30, 2023. The default rule is configurable and you can define any time frame for your business. The application then calculates the planned end date to be the exact number of days that you specify after the start date.

This feature gives autonomy and control to customers to extend their existing applications by creating their own rules without relying on Oracle Development to implement it.

Steps to Enable

To enable Autocomplete Rules in the HCM Experience Design Studio, you need to log a Service Request (SR). Review and follow the instructions provided in the My Oracle Support document, Fusion HCM Cloud: Enabling Autocomplete Rules Feature Starting with 21B (Doc ID 2767655.1) to get access.

Tips And Considerations

  • If you use Will return to work field, then be aware that the possible values are Y and N, and only the value of Y is supported. Use this value only if you track return to work in your absence transaction.

You must be granted the Human Capital Management Application Administrator role to work in a sandbox.

Carryover Balance Consumption and Multiple Year Carryover for Accrual Plans

You can now use the carried over balance of accrual plans with no forfeiture limit beyond the 365 day/1 year expiration limit. This applies to both front loaded and incremental accrual plans. Previously, employees had to use their carryover balance within a certain time period before it expired. This period couldn’t be greater than 1 year.

Now you can configure accrual plans to have longer expiration periods which gives employees a greater amount of time to use their unused carryover balances. To do so, you need to select the  No Limit option in the Carryover Limit Rule field from the Accruals tab in the absence plan setup page. This option will ensure that there is no limit on the amount of balance that can be carried over to the new plan year.

Once you set the Carryover Limit Rule to No Limit, you can set a time period after which the carryover balance will expire. You can do that by selecting the Carryovers expire after specific time checkbox and setting a time period in the Expiration Period field. You can define a carryover expiration period for the plan that can exceed 1 year.

If you select the Flat Amount, Include in Matrix or Formula option in the Carryover Limit Rule instead of No Limit, you won’t be able to set an expiration period longer than 1 year. Plans with these carryover limits are limited to an expiration of one year and cannot be tracked with the multiyear carryover option.

For plans that have multi-year carryover, the absence balance page will show carryover sub balance for each plan term that contains unexpired carryover, based on your expiration period setup.  Each carryover sub balance is maintained based on the plan period end date and the remaining balance available as well as the expiration date for each of the sub balances will be displayed. For plans where carryover is only within the plan term, remaining balance and expiration dates will also be displayed.

You can see the remaining balance and the expiration details for each of your carryover sub balances.

Absence Transactions and the Consumption of the Accrual and Carryover Balances

For all accrual plans, the absences, donations, transfers, disbursements, elective disbursements and rollovers will first consume balance from any unused, unexpired carryover. Once carryover is depleted, only then will they consume from the accrual balance. For plans that span multiple years, the consumption of carryover will be in expiration order. This means that the balances that expire first will be consumed first.

Adjustments made to the accrual balance will continue to consume from the remaining accrual balance first, and then consume from the carryover next. In a multi-year carryover scenario, once the accrual balance is depleted, the adjustment will consume from carryover in first to expire order. If the absence plans are configured to use balance reinstatement, the application will combine all carryover sub balances that contain unused or unexpired carryover and all other plan balances into one overall balance for balance reinstatement. Similarly, if the absence plan is configured to make a final disbursement, the carryover sub balances that contain unused or unexpired carryover will be summed into one total along with the remaining accrual balance and sent to Payroll for final disbursement.

If a global transfer is done for a person with multiyear carryover plans, the individual sub balances maintained in the entity prior to the transfer will be maintained by plan year in the new entity also, along with the remaining balance and expiration details.

For multiyear carryover plans, when you load carryover balances into the absence plan, the unexpired carryover for previous years as well as the current year can be loaded into the appropriate carryover sub balances based on the plan term end date.

New carryover options now let you use carryover balances over a longer period of time spanning across multiple years. You can also view your multi-year carryover balances that are maintained for each plan year separately. 

Consuming carryover first prior to consuming from the accrual balance first ensure balances that are going to expire will be what is consumed first.

Increased Character Limit for Short Code in Calendar Events

The character limit for Short Code in Calendar Events has been raised from 8 to 48. Now when you create calendar events, you get more flexibility regarding short codes.

Here’s how you access the Create Calendar Event page: Setup and Maintenance > Search Tasks > Manage Calendar Events.

The short code for calendar events is no more restricted to just 8 characters. You can now enter a short code of up to 48 characters while configuring calendar events.

You don't need to do anything to enable this feature.

Audit Enabled for Accrual Tables

Audit capability has been added to three absence plan transaction tables. You can use audit to track all the changes that happen in the absence plan tables. Audit even keeps track of the rows that might get deleted.

The Withdraw Accruals and Balances process isn't currently supported by the audit functionality.

Transactional Business Intelligence for Absence Management

Oracle Transactional Business Intelligence is a real time, self-service reporting solution offered to all Oracle Cloud application users to create ad hoc reports and analyze them for daily decision-making.  Oracle Transactional Business Intelligence provides human resources managers and specialists, business executives, and line managers the critical workforce information to analyze workforce costs, staffing, compensation, performance management, talent management, succession planning, and employee benefits.

New Subject Area - Workforce Management - Absence Entitlement Case Real Time

The Workforce Management - Absence Entitlement Case Real Time subject area provides real-time information on a worker's absence case information for UK statutory plans. The absence case is a collection of absence records. You can use the Time dimension to report on the absence case history or future-dated absence.

You should be able to answer business questions like What certifications are associated with an entitlement case? or What absences are associated with an entitlement case? etc..

Augment your reporting on absence cases for United Kingdom Statutory plans with a new subject area Workforce Management - Absence Entitlement Case Real Time.

Steps to Enable

Leverage new subject area(s) by adding to existing reports or using in new reports. For details about creating and editing reports, see the Creating and Administering Analytics and Reports book (available from the Oracle Help Center > your apps service area of interest > Books > Administration).

Tips And Considerations

This subject area does not have worker's assignment information available for reporting since the case does not have a concept of assignment. Due to this, there will be no data security for reporting on entitlement cases.

In the absence of data security, it is advisable to apply filters on dates related to cases for an optimal query performance while reporting on the subject area.

Oracle publishes a Known Issues document for every Update to make customers are aware of potential problems they could run into and the document provides workarounds if they are available.
