Optional Uptake of New Features (Opt In)

Oracle Cloud Applications delivers new updates every quarter. This means every three months you'll receive new functionality to help you efficiently and effectively manage your business. Some features are delivered Enabled meaning they are immediately available to end users. Other features are delivered Disabled meaning you have to take action to make available. Features delivered Disabled can be activated for end users by stepping through the following instructions using the following privileges:

  • Review Applications Offering (ASM_REVIEW_APPLICATIONS_OFFERINGS_PRIV)
  • Configure Oracle Fusion Applications Offering (ASM_CONFIGURE_OFFERING_PRIV)

Here’s how you opt in to new features:

  1. Click Navigator > My Enterprise > New Features.
  2. On the Features Overview page, select your offering to review new features specific to it. Or, you can leave the default selection All Enabled Offerings to review new features for all offerings.
  3. On the New Features tab, review the new features and check the opt-in status of the feature in the Enabled column. If a feature has already been enabled, you will see a check mark. Otherwise, you will see an icon to enable the feature.
  4. Click the icon in the Enabled column and complete the steps to enable the feature.

In some cases, you might want to opt in to a feature that's not listed in the New Features work area. Here's how to opt in:

  1. Click Navigator > My Enterprise > Offerings.
  2. On the Offerings page, select your offering, and then click Opt In Features.
  3. On the Opt In page, click the Edit Features (pencil) icon for the offering, or for the functional area that includes your feature.
  4. On the Edit Features page, complete the steps to enable the feature.

Opt In Expiration

Occasionally, features delivered Disabled via Opt In may be enabled automatically in a future update. This is known as an Opt In Expiration. If your cloud service has any Opt In Expirations you will see a related tab in this document. Click on that tab to see when the feature was originally delivered Disabled, and when the Opt In will expire, potentially automatically enabling the feature. You can also click here to see features with Opt In Expirations across all Oracle Cloud Applications.

Column Definitions:

Features Delivered Enabled

Report = New or modified, Oracle-delivered, ready to run reports.

UI or Process-Based: Small Scale = These UI or process-based features are typically comprised of minor field, validation, or program changes. Therefore, the potential impact to users is minimal.

UI or Process-Based: Larger Scale* = These UI or process-based features have more complex designs. Therefore, the potential impact to users is higher.

Features Delivered Disabled = Action is needed BEFORE these features can be used by END USERS. These features are delivered disabled and you choose if and when to enable them. For example, a) new or expanded BI subject areas need to first be incorporated into reports, b) Integration is required to utilize new web services, or c) features must be assigned to user roles before they can be accessed.

Reports plus Small Scale UI or Process-Based new features will have minimal user impact after an update. Therefore, customer acceptance testing should focus on the Larger Scale UI or Process-Based* new features.

Use Redesigned Pages to View Supply Requests

Use redesigned pages to view supply requests and their details on your desktop, tablet, or mobile device. You can now use the supply request reference, supply order, supply document, or item to search for your supply requests. Create and save your own default searches. Filter search results according to the supply's requested date, requested delivery date, request status, and so on. View recommended actions that you need to take to remove exceptions. View the supply documents that Oracle Supply Chain Orchestration created for each request. View details about request lines and take actions.

To use this feature, go to the Supply Orchestration work area, click Tasks > Supply Requests, then search for your supply request.

Improve your efficiency when you search for and view supply requests.

You have a couple of options for giving people access to this feature, depending on whether you're assigning them predefined job roles or your own configured job roles.

  • Users who are assigned any of these predefined job roles can access this feature:

  • Users who are assigned a configured job role that contains these privileges can access this feature:

Collaboration Messaging Framework

Streamline Your B2B Setup for the Avalara and TIE Kinetix Service Providers

The process for B2B setup has been streamlined for the Avalara and TIE Kinetix predefined service providers. If you are subscribed to their services, you can connect with your trading partners and exchange messages with greater ease.

The endpoints for these service providers are predefined, and a new simplified process is provided to streamline the B2B setup in the Collaboration Messaging work area.

Steps to Enable

At a high level, to set up these service providers:

  1. Configure the service providers to exchange messages with your trading partners.
  2. Create trading partners.
  3. Associate the trading partners with your customers or suppliers and select the documents you want to exchange.

These steps are detailed in the Configuring and Managing B2B Messaging for Oracle Fusion Cloud SCM guide.

Configure the Predefined Service Providers Avalara or TIE Kinetix to Exchange Messages with Your Trading Partners.

  1. Select Manage Collaboration Messaging Service Providers from the Tasks panel tab, search for either Avalara or TIE Kinetix and select Actions > Edit.

The overview tab displays the following details about the service provider:

  • Connection type that is configured, Test or Production.
  • A check box to indicate whether credentials are configured or not.
  • The number of trading partners configured for the service provider.
  • The number of trading partners with override message definitions.
  • The number of customers that are setup with the service provider.

  1. Select Actions > Manage Delivery Settings to configure the settings for outbound message delivery.
    • Select Test or Production in the Outbound Delivery Connection Type drop-down to reflect the environment you're setting up.
    • Enter the username and password provided by Avalara or TIE Kinetix for sending messages to their network in the Service Provider User Name and Password fields.

After completing the service provider setup, create your trading partners.

  1. Select Manage B2B Trading Partners on the Tasks panel tab.
  2. On the Manage B2B Trading Partners page, select Actions Create, and add your trading partners.
  3. Select Avalara or TIE Kinetix as the service provider you're using.

Associate Trading Partners with Your Customers

Next, associate the trading partners with your customers and select the documents you plan to exchange.

  1. Select Manage Customer Account Collaboration Configuration on the Tasks panel tab, and search for your customers.
  1. Select a customer and then select Edit Collaboration Configuration.
  1. In the Associated Service Providers section of the Edit Customer Account Collaboration Configuration page, select Actions > Add Row to add a trading partner and the service provider.
  1. In the Collaboration Documents for Service Provider section, select Actions > Add Row, add the documents you want to exchange and set their Association Status to Enabled.

Both the Avalara and TIE Kinetix service providers have the following documents available:

  • Invoice Acknowledgement Inbound
  • Invoice Outbound

Associate Trading Partners with Your Suppliers

  1. Select Manage Supplier B2B Configuration on the Tasks panel tab, and search for your suppliers.
  1. Select a supplier and then select Edit Supplier B2B Configuration.
  1. On the Edit Supplier B2B Configuration page, select the Trading Partner Assignment tab and click Actions > Add Row to add a trading partner and either the Avalara or TIE Kinetix service provider.

If you used TIE Kinetix services prior to this release, you’ll notice that your message definition names are now prefixed with 'TIEKinetix_'.  You can select TIE Kinetix from the list of service providers in the Manage Collaboration Message Definitions task to search for your message definitions.

Transmit a Purchase Order as a PDF File

You can use the Transmit the PO PDF as an unzipped file when it’s the only attachment check box to send a PO as an uncompressed PDF file by email to your suppliers. This option is applicable when the PO is the only attachment available for the message.

This feature makes it easier for smaller suppliers who don’t have automated systems to read the POs they receive.

Steps to Enable

The email delivery method may be configured for a service provider or a trading partner to transmit the PO PDF as an unzipped file. To enable this option,

  1. Select Manage Collaboration Messaging Service Providers from the Tasks panel tab, and search for the service provider you're using to deliver your B2B messages. If you don’t use a service provider for sending and receiving messages, select Manage B2B Trading Partners from the Tasks panel.
  1. Select the Delivery Methods tab, and on the email delivery method, select the Transmit the PO PDF as an unzipped file when it’s the only attachment check box.

3. Select Save and Close.

Tips And Considerations

The PO PDF is sent as an uncompressed file if it's the only attachment for the message. If there are additional attachments, all attachments including the PO PDF will be compressed and sent as a ZIP file. If your suppliers can’t receive a ZIP file, you can use the File Extension field on the email delivery method to set the extension of the file that is sent by email.

Integrate and Extend Procurement Using REST Resources

In this update, Oracle Fusion Cloud Procurement and Oracle Fusion Cloud Self Service Procurement deliver new and modified REST resources to enable and simplify integration with external systems.

New REST resources introduced in this update are:

  • Purchase Agreements
  • Purchase Agreement Lines
  • Purchase Agreement Import Requests
  • Purchasing Document Import Errors
  • Special Handling Types

The following REST resources were previously available, and have been updated:

  • Requisition Lifecycle Details

    • The following child resources have been added to this resource. Currently, GET is the only operation that is supported:
      • Shipments

      • Transfer Order History Details
  • Purchase Requisitions

    • A new finder, Find Content Zones, has been provided to search content zones using different criteria.

    • GET, POST, and PATCH are supported for additional contact email.

  • Purchase Orders

    • GET is supported for additional contact email.

  • Supplier Negotiations

    • POST is supported to add and invite additional suppliers in active negotiations.

    • Unlock and Unseal custom actions are supported to unlock and unseal supplier responses in sealed negotiations. The actions also support unlocking technical and commercial evaluation stages in a two-stage RFQ.

You can use these new and modified REST resources to simplify integrations and support standards-based interoperability with your other applications and external systems.

Generate Reports on Compliance Checklists Using OTBI

Generate reports and inquiries on compliance checklists associated with purchasing documents using OTBI. You can create a report using these checklist attributes:

  • Checklist Title
  • Checklist Number
  • Checklist Status
  • Checklist Owner

The checklist attributes are available under the new Checklist folder in these subject areas:

  • Procurement - Purchasing Real Time
  • Procurement - Purchasing Agreements Real Time
  • Procurement - Pending Change Orders Real Time
  • Procurement - Implemented Change Orders Real Time

Save time creating a compliance checklist with prepopulated values for the procurement BU and owner.

When you create a checklist, you are automatically assigned as the owner. If you manage compliance checklists for a single procurement BU, that BU is defaulted as the procurement BU of the checklist. If you manage compliance checklists for multiple procurement BUs, the BU set in the Default Procurement Business Unit profile option is defaulted.

Search and Select Items and Their Associated Trading Partner Item References When Creating Blanket Purchase Agreements

Search for items and their associated manufacturers, manufacturer part numbers, suppliers, and supplier items, and select specific combinations to populate your agreement lines. When an item has multiple manufacturer and manufacturer part numbers, you can now select the combination of values you want to return to the agreement line. When an item has multiple supplier items, the application will return the selected supplier item to the agreement line only if its supplier matches the one specified on the agreement.

Before this release, when enabling the Search for Master Items Using Multiple Item Attributes When Creating Purchasing Documents opt in, you could search for items using their associated supplier item number, manufacturer, and manufacturer part number attributes in purchasing documents. It wasn't possible to bring the items and attribute combinations from the item search results into the blanket purchase agreement line. From this release, by enabling the opt in and setting the Populate Trading Partner Item Details on Agreements profile option to Yes, the selected combination from the item search results will populate the supplier item number, manufacturer, and manufacturer part number attributes into the blanket purchase agreement line.

To use this feature, you must opt in to the Search for Master Items Using Multiple Item Attributes When Creating Purchasing Documents feature and set the Populate Trading Partner Item Details on Agreements (ORA_PO_BPA_ITEM_PICKER) profile option name.

To enable the Populate Trading Partner Item Details on Agreements profile option name, follow these steps:

  1. In the Setup and Maintenance work area, use the Manage Administrator Profile Values task:

  1. On the Manage Administrator Profile Values page, search for and select the Populate Trading Partner Item Details on Agreements profile option name.

Tips And Considerations

  • This feature is ideal for implementations where having multiple supplier and manufacturer trading partner definitions per item master is a common practice. In environments where the norm is a one-to-one relationship between item masters and supplier or manufacturer part numbers, enabling this feature may result in data redundancy by managing the same supplier and manufacturer item details on the BPA line and in the item master definition. This increases the complexity of data maintenance and the potential for inconsistencies.

  • To transfer the supplier item number, manufacturer name, and manufacturer part number from the search results to the blanket purchase agreement line, configure the Search Results section of the Search and Select Item page to display these attributes. You can add columns for the supplier item number, manufacturer, and manufacturer part number through the View menu on the Search Results section of the page. Having these columns visible in the search results will let you easily select the item with the right combination of attributes to populate into the blanket purchase agreement line.
  • In addition to populating trading partner item details on blanket purchase agreement lines through selection from item search results, the Populate Trading Partner Item Details on Agreements profile option now also controls the defaulting of the supplier item number, manufacturer, and manufacturer part number from the item master definition into the blanket purchase agreement line. This applies regardless of whether the Search for Master Items Using Multiple Item Attributes When Creating Purchasing Documents opt in is enabled. If the profile option is set to Yes and you add an item to the blanket purchase agreement line without selecting a supplier item number, manufacturer, or manufacturer part number combination from the search results, the application will automatically default those fields into the blanket purchase agreement line, as long as the defaulting conditions are met.

Here's how it works:

  • When the opt in is enabled and the profile option is set to Yes: If you enter an item on a BPA line without choosing a specific combination of item, supplier number, or manufacturer part number from search results, the application will automatically default those fields into the blanket purchase agreement line based on the item master definition, as long as the defaulting conditions are met.
  • When the opt in is disabled and the profile option is set to Yes: If you enter an item on a BPA line, the application will automatically default those fields into the blanket purchase agreement line based on the item master definition, as long as the defaulting conditions are met.

These are the current conditions that must be satisfied to default the supplier part number from the master item definition:

  • The trading partner type for the item master should be a supplier.
  • The trading partner name should match the supplier on the blanket purchase agreement.
  • The trading partner item status should be active or null.
  • The supplier item relationship start date should be effective while creating a blanket purchase agreement.
  • The relationship status should not be obsolete.
  • Only one relationship should meet these conditions for the master item.

These are the current conditions that must be satisfied to default the manufacturer and manufacturer part number fields from the master item definition:

  • The trading partner type for the item master should be a manufacturer.
  • The trading partner item status should be active or null.
  • The manufacturer status should be active or null.
  • The manufacturer item relationship start date should be effective while creating a blanket purchase agreement.
  • The relationship status should not be obsolete.
  • Only one relationship should meet these conditions for the master item.

Create Master Items with Trading Partner Item Associations from the Blanket Purchase Agreement Import

Create master items with trading partner item associations, leveraging Product Information Management functionality to automatically derive item class, item number, and primary unit of measure from the blanket purchase agreement (BPA) import.

Before this update, Purchasing Cloud already supported the creation of items in Product Information Management from imported BPA lines. However, it didn't support the creation of trading partner items (supplier items and manufacturer part numbers) from the import. As part of this feature, the BPA import will support the creation of trading partner items and their relationships to master items as well. The value added is twofold:

  • Seamless integration between Purchasing and Product Information Management by eliminating the need for manual trading partner item creation when BPAs are created or updated in bulk.
  • Maintain Product Information Management as the single source of truth for master items, trading partner items, and their relationships.

You will also be able to take advantage of advanced Product Information Management features when creating new master items from the BPA import:

  • Automatic item class derivation for new master items.
  • Automatic item number generation based on the item number generation method assigned to the item class.
  • Automatic creation of items in all child organizations of the item master organization associated with the procurement business unit.
  • Automatically derive the primary UOM from either the base UOM of the BPA line's unit class or the lowest UOM in the item's packaging string. This table shows some derivation examples:

Data integrity between Purchasing Cloud and Product Information Management is strengthened and redundancy reduced by:

  • Performing duplicate checks before creating new master items or trading partner items to support these use cases:
    • Create new trading partner items and their relationships to new master items.
    • Add new trading partner items to an existing master item by providing the master item number.
    • Add a supplier item to an existing master item by providing the manufacturer part number to identify the master item.
    • Create relationships between existing trading partner items and existing or new master items.
  • Ensuring manufacturers provided for new manufacturer part numbers are valid.
  • Not storing trading partner item references on imported BPA lines when corresponding trading partner items are created in Product Information Management, ensuring it remains the single source of truth for trading partner item information.

Tips And Considerations

  • Updates to master items or trading partner items stored in Product Information Management aren't supported by the BPA Import. For example, if a new supplier item is provided for an existing master item, a new trading partner item will be created in Product Information Management but without replacing or updating any existing trading partner item.
  • Some functionality, such as creating items in item classes different from the root class or generating rule-based item numbers, requires an Oracle Product Hub license.
  • If, after opting in to this feature, you still want to maintain trading partner references on imported BPA lines when new trading partner items are created in Product Information Management, you must set the Populate Trading Partner Item Details on Agreements profile option to Yes. You can consider this configuration if your business requires maintaining multiple manufacturer items for the same master item. For example, your manufacturing specifications and planning recommendations use master items that can be procured from multiple manufacturers, and the actual manufacturer and corresponding manufacturer part number are only selected when ordering the items. To utilize this approach, you must consider these limitations:
    • Trading partner item corrections in Product Information Management won't reflect on the BPA lines. As a result, corrected values will be unavailable while sourcing requisitions or purchase orders to those BPA lines.
    • Corrections to the trading partner item references on the BPA lines may result in the creation of new trading partner items in Product Information Management.

You can now require buyer review, override B2B communication, and automatically create receipts for your special handling orders.

Enabled When enabled, requesters and buyers will be able to create documents using the special handling type. When disabled, the special handling type will no longer visible as a choice when creating the document.

Use the Manage Descriptive Flexfields task to configure the context and context segments for the header and line fiexfields. Configure the context and context segments for the document header on the Special Handling Attributes for Headers flexfield and for the document line on the Special Handling Attributes for Lines flexfield. You can change or add your context and context segments. There are 20 text, 10 date, 10 timestamp, and 10 number fields available.

Tips And Considerations

  • You can't delete special handling types after you create them in the Manage Special Handling Types task. Disable the special handling type so that requesters and buyers no longer see the type as a choice when creating documents.
  • The context associated with the special handling type can't be changed after creating the type. When you create a special handling document, the context will default onto the document and control which segments you see. You won't be able to see or change the context itself on the document.
  • The Bill Only special handling type and associated contexts are seeded. You can use them as is or configure them. For more details about using the Bill Only type, refer to the Create Bill-Only Requisitions and Purchase Orders feature.
  • Any changes to the Special Handling Attributes for Headers or Special Handling Attributes for Lines flexfields are shared between Self Service Procurement and Purchasing. New and changed contexts and segments will show up in both applications.
  • To create special handling requisitions online, enable the Procure Goods and Services Using the Responsive Self Service Procurement Application feature.
  • All special handling requisition lines must have a supplier and supplier site. The supplier and supplier site must be the same across all requisition lines.
  • Internal material transfers aren't supported on special handling requisitions.
  • You can't create special handling orders using styles that have consignment terms, configuration ordering, outside processing, or complex work enabled.
  • You can't create special handling orders if the requisitioning business unit is located in Brazil and has fiscal document processing enabled.
  • If Automatically Create Receipt is enabled for the special handling type:
    • You can't create lines with items that are lot or serial-controlled.
    • Receipt routing will be read-only and set to Direct Delivery.
    • The destination type must be Expense.
  • After opt in to this feature, the Override B2B Communication setting will be available on purchase orders without needing to opt in to the 23B feature Override B2B Communication of Purchase Orders. You will still need the corresponding privilege to change the value. Please review the documentation for the feature for more details about usage.
  • If B2B messages are set up for the document and the supplier site, the application will enable Override B2B Communication on special handling orders if the Override B2B communication for special handling orders setting on the supplier site is enabled. 
  • You can't duplicate special handling orders or lines. 
  • Regardless of the grouping settings on the procurement business unit or agreement, special handling requisitions can't be grouped with any other requisitions. Special handling requisition lines also can't be grouped.
  • You can't split or update special handling requisition lines from catalog on the Process Requisitions page. You can't group special handling requisition lines manually on the Edit Document Builder page. 
  • A special handling type is available as a header-level approval attribute for writing rules. 
  • Special handling type and code are available in the Purchase Order data model. You can configure your PDF template with the data model fields to send special handling details to your supplier.

Create bill-only requisitions and purchase orders for purchases that don't follow the standard procurement process by using the Bill Only special handling type. For example, in the healthcare industry, bill-only items such as implant devices are only ordered when they have already been used. You can capture details such as the physician's name and the product serial number onto the document. You can now require buyer review, override B2B communication, and automatically create receipts for your bill-only orders.

Assign Additional Supplier Contact Emails to Imported Purchase Orders

Specify additional supplier contacts by providing their email IDs while creating purchase orders using file-based import and REST resources. In update 24A, you could add additional supplier contacts only for incomplete purchase orders created online. With this update, you can also change these additional contact email IDs on approved purchase orders if these contacts are no longer applicable. Changes are supported through the user interface and the REST resource.

You can also perform the these tasks using additional contact emails:

  • Generate OTBI reports and inquiries using the Additional Contact Email attribute in the Purchasing Real Time OTBI subject area.
  • Author contract terms for purchase orders using the newly added Additional Contact Email system variable.

  • You can configure a new change order template to specify whether a purchase order needs to be revised if the additional contact email attribute was updated.
  • When importing purchase orders using file-based import, communication email will be defaulted using supplier contact email address values and additional contact email address if you didn't specify any value for the communication email attribute.

  • To create an approval rule based on the Chart of Accounts segment, follow these steps:

  1. In the BPM Worklist task, click the Administration tap under the User menu.
  2. Click the Task Configuration tab.
  3. Search for the DocumentApproval task.
  4. Click the DocumentApproval task.
  5. To edit the task, click the Pencil icon.
  6. Click the Assignees tab, select the stage and participant to which you want to add the approval rule.
  7. Click the Go to Rule link.
  8. To create a new rule, in the Rules section, click the Plus icon and click the General Rule tab.
  9. To create the test condition, in the IF section, click the Plus icon, and click the Simple Test tab.
  10. To search, click the Magnifying Glass icon.
  11. In the Condition Browser window, expand one of the Chart of Accounts segments.
  12. Select the Chart of Accounts segment you want to base the approval rule on and complete the IF condition.
  13. In the THEN section, to add the THEN condition, click the Plus icon.
  14. To validate your business rule, click Validate.
  15. Save and commit your approval rule.
  • This feature is only available if you use the BPM Worklist task to manage approval rules.

To manage workflow for all product families, you need a custom role that includes the BPM Workflow All Domains Administrator Role.

Update Attributes on Split Order Lines for Partial Drop Shipments

Update attributes on a split order line that Oracle Order Management creates when a supplier ships part of an order line in a drop shipment flow. If only some of the quantity on the order line is currently available on the requested date, then your drop ship supplier might ship that quantity, and Order Management will split the order line for the remaining quantity. Starting with update 24B, you can update attributes on the split fulfillment line.

Use this feature so you can update attributes on a split order line that Order Management creates when Oracle Procurement ships part of an order line in a drop shipment flow.

All the following usages described in this document involve split lines that you ship in a drop shipment.

Scenario

A supplier can ship part of a fulfillment line that you drop ship to help meet customer demand. If only some of the quantity on the order line is currently available on the requested date, then the supplier ships the quantity that's available to ship, and Order Management will create a split order line for the remaining quantity. You now have a new fulfillment line that has the remaining quantity that the supplier still needs to ship.

You might need to update attributes on the new split line in Order Management after the supplier ships part of the order line. For example, assume you know that supplier B has enough supply to fulfill the line that hasn't shipped. If you revise the supplier and supplier site attributes on that line to supplier B and submit your revision, then Order Management will send these details to Procurement so Procurement can create a new purchase order for supplier B, and supplier B can fulfill the request.

Update Attributes on Split Order Lines

You can:

  • Modify the quantity, scheduled date, shipping location, shipping method, supplier, or supplier site.
  • Modify the price of a purchase order line, through an extensible flexfield on the order line.
  • Unschedule the line or substitute the item.
  • Schedule or split the line when it's in Manual Scheduling Required status.

You can update an attribute's value on a split line in Order Management, and then use that value to:

  • Reprice and recalculate tax.
  • Fulfill, recognize revenue, and bill the split lines.
  • Cost the transaction and recognize the cost of goods sold for the split lines in Oracle Cost Management.
  • Orchestrate financial details and process the transaction in Oracle Supply Chain Financial Orchestration for the split lines.

Do these updates in the Order Management work area, through REST API, or through some other application, such as Oracle Backlog Management or Oracle Global Order Promising.

Update Attributes on Purchase Orders

You can update attributes on a purchase order's partially shipped line:

  • Modify the promised dates, shipping method or quantity.
  • Split the schedule on the line.
  • Cancel a line on the purchase order.

You can update attributes on a line that Procurement never received in a purchase order, and when the line contains a configured item, a kit, or the item is part of a shipment set:

  • Modify the quantity or split the schedule.

Use Order Management

You can now update one or more attributes on an order line that you split and ship through a drop shipment:

  • Update line attributes just like you do when you update attributes on a line that isn't split and when the line is awaiting shipping. You can also use actions in a fulfillment view to do this.
  • As an option, use the Update Lines action to update attributes on all the lines that you select at the same time. If you opt into this feature, then you can use this action for the split lines and for the order lines that you backorder in Procurement.
  • Update an attribute on the order header, and Order Management will cascade your update to all the split lines that you haven't overridden. You can also use the Override Order Line action to update an attribute on the split line.
  • Use an order management extension or posttransformation rule to update an attribute on a split line.

NOTE:

  • If you ship lines in a shipment set, and if you partially ship or don't ship at least one of these lines, then Order Management removes the lines that you haven't shipped from the set. You can now update attributes on the removed lines just like you do on a line that isn't in a shipment set.
  • If you update an attribute on a split through REST API, or through some other application, such as Backlog Management, Global Order Promising, and so on, but it’s a split line that Order Management doesn't allow you to update, then you will receive an error.

  • If you do an unschedule action for one or more split lines, and if the fulfillment tolerance on at least one of the lines that you select isn’t 0, then Order Management will ask you to confirm the action. For background, see Guidelines for Setting Up Shipment Tolerances.

If you use an action in a fulfillment view to update the split lines, and if your selection includes:

  • Only the split lines that Order Management can’t update. Order Management will display the same error that it displays when you don't use this feature. 
  • Split lines that Order Management can update. Order Management will update them, and won't update the split lines that it can't update.

You can’t update an attribute if:

  • It’s on a remnant line of a configured item. 
  • It’s on a line that Order Management created when Oracle Receiving partially received a return line.
  • It’s on a sales order that you submitted before you opted into the Update Attributes on Split Order Lines for Partial Drop Shipments feature. You can update attributes on a split line that you drop ship only on a sales order that you submit after you opt into the feature.

How Order Management Processes Change

Order Management User Updates an Attribute

Order Management processes change on a split line similar to how it processes change on a line that isn't split and that's awaiting shipping. You can use different compensation patterns according to the attributes that you update or according to the fulfillment task that Order Management is compensating.

If you update an attribute on a split line, and if the orchestration process uses that attribute to identify change for a fulfillment task, then the orchestration process sends the updated attribute value on the split line to Procurement. For example, if you update attributes such as the ordered quantity, shipping method, scheduled dates, shipping location and so on a split line, then Order Management compensates the procurement task and sends the updated attribute value to Procurement.

  • The orchestration process compensates all of its fulfillment tasks, then sends the split line to Procurement.
  • You can cancel a split line on a sales order or fulfill it without updating any attribute just like you did before you could use this feature. Procurement will close the purchase order line that fulfills the split line.
  • Order Management no longer compensates the parent line of a split line when you cancel that split line for a partial shipment.

If you substitute an item, do an unschedule action, or change the fulfillment from a drop shipment to a standard warehouse flow or to a back-to-back flow, then Order Management will send a request to Procurement to close the purchase order.

  • For example, if you substitute an item, then Procurement will close the old purchase order and create a new purchase order for the new item.
  • If you unschedule a split line, then you can reschedule the line to a new supplier or warehouse.
  • If you revise the split line to remove the supplier and add a warehouse, then Procurement will close the purchase order and order management will interface the line to your warehouse for fulfillment.

Buyer or Supplier in Procurement Updates an Attribute

Here are some examples of how Order Management processes an update on a purchase order when Procurement has received only part of the quantity, and a buyer or supplier updates an attribute on a split line in Procurement.

What You Do in Procurement

Reduce the quantity on the purchase order line.

If you reduce the purchase order quantity to:

  • A quantity that exceeds the quantity that Procurement already received. Order Management updates the quantity on the backordered line, then creates a new fulfillment line for the remaining quantity that the supplier can't fulfill, then sets the status on the new fulfillment line to Manual Scheduling Required. Procurement continues to allow the purchase order to receive more quantity.

  • The same quantity that Procurement already received. Order Management sets the status on the backordered fulfillment line to Manual Scheduling Required. Procurement prevents the purchase order from receiving more quantity.

Cancel the schedule on the purchase order line.

If you set the Cancel Unfulfilled Demand attribute to:

  • Yes. Order Management updates the backordered fulfillment line’s status to Manual Scheduling Required.
  • No. Order Management updates the backordered fulfillment line’s status to Requisition Created.

If your item is a configured item, kit, or shipment set, then you can cancel the entire purchase order but not the purchase order line and schedule.

Update the promised ship date or the promised delivery date on the schedule.

Update the scheduled ship date or the scheduled arrival date on the backordered fulfillment line.

Split the purchase order's schedule into more than one schedule, and then update the promised dates after Procurement receives the remaining quantity

Split the line into more than one line, and then update the scheduled ship date or the scheduled arrival date on these lines.

How Procurement Processes Change

Here are some examples of how Procurement processes an update that you make on an attribute on a split line on a sales order in Order Management when Procurement has received only part of the schedule.

Modify the shipping method.

  1. Split the current schedule.
  2. Reduce the old schedule's quantity to the quantity that Procurement already received according to the old shipping method.
  3. Create a new schedule that includes the quantity that Procurement hasn't received and the new shipping method from Order Management.

Modify the shipping location

  1. Split the current schedule.
  2. Reduce the old schedule's quantity to the quantity that Procurement already received according to the old shipping location.
  3. Create a new schedule that includes the quantity that Procurement hasn't received and the new shipping location from Order Management.

Unschedule the line

Close the purchase order with the quantity that Procurement already received.

Substitute the item, or modify the supplier or supplier site.

  1. Close the purchase order with the quantity that Procurement already received for the old item, or from the old supplier or supplier site.
  2. Create a new requisition and a new purchase order for the new item, or for the new supplier or supplier site.

How Supply Chain Financial Orchestration and Cost Management Process Change

Assume you add a new price for the purchase order through an extensible flexfield on the order line in Order Management, and then Procurement updates the price on the purchase order line:

  1. Financial Orchestration will calculate the transfer price according to the price on the updated purchase order line for each subsequent drop shipment.
  1. Cost Management will use the new price when it processes each subsequent drop shipment. It will also adjust the price on each prior drop shipment according to the new price on the purchase order line. 
  1. If you modify the supplier or supplier site on the sales order line, then Procurement will create a new purchase order, and Financial Orchestration will create a new financial agreement for each subsequent drop shipment.

Assume on-hand supply becomes available, so you update the supply details on the sales order line and ship the remaining quantity that you haven't shipped yet from the warehouse. This modification will change the sales order's flow from a drop shipment to a standard flow or to an intercompany transfer. Financial Orchestration and Cost Management will use the new flow when they process and cost each subsequent shipment.

Realize these benefits:

  • Update attributes on an order line after you ship part of a drop shipment line.
  • Avoid having to cancel split lines and manually recreate new ones when all you want to do is update attributes on the shipment line.
  • Reduce the number of steps and the time you need to process change on an order line after you ship part of that line.
  • Improve efficiency and accuracy of change processing on the line after you ship part of the line.
  • Improve tracking and reporting for lines that you fulfill in more than one shipment.
  • Increase customer satisfaction.

  • You can't opt out of the Update Attributes on Split Order Lines for Partial Drop Shipments feature after you opt in and submit a sales order. At this point, you're committed to using the feature.
  • You can update attributes on a split line, that you drop ship, and that has a configured item or a kit just like you do when you update attributes on a line that isn’t split and that’s awaiting shipping, but you can’t modify the configured item on a split line.
  • If you update an attribute on a split line, then Oracle Pricing reprices the line just like it does when you update an attribute on a line that isn't split and that's awaiting shipping.
  • If you drop ship a split line in a standard or in a back-to-back flow, then you can set the supplier and the supplier site on the split line.
  • If you substitute the item on a split line, or unschedule it, and if the fulfillment tolerance on the line isn’t 0, then the fulfillment system will apply the fulfillment tolerance on the split order line, but it won't consider the cumulative quantity that you already shipped across all of the order line's fulfillment lines. Instead, the fulfillment system will consider only the quantity on the fulfillment line that you're shipping.
  • You can’t use a web service from Application Development Framework to update an attribute on a split line that you drop ship.

Selected Purchasing Bug Fixes in This Update

This update includes some bug fixes that can change the way Oracle Purchasing works. This isn't a full list of all the bug fixes in this update. This list includes the bug fixes that can cause a noticeable change in application behavior.

Query by Example to Filter Search Results by Project and Task Returns Unpredictable Results

Before this update, if you used query by example to filter search results by projects or tasks on the View Requisition Lines or Manage Orders page, the results wouldn't match the filter, meaning the application wouldn't filter out any records that didn't match the value you entered. With this update, query by example for projects and tasks is disabled on these pages. If you want to narrow down your search results to a specific project and task, use the search attributes.

Bypass Purchase Order Approvals While Updating Purchase Agreements Using FBDI

After updating to 24B, users who need to use file-based data import (FBDI) to update blanket and contract purchase agreements with the Bypass approval action must be assigned the Import Purchasing Document Bypassing Approval privilege (PO_BYPASS_PURCHASE_ORDER_APPROVAL_PRIV), in addition to the privilege required to create purchase agreements.

This privilege isn't assigned to any predefined job roles. Whether you manage security using predefined job roles or your own configured job roles, you must assign the Import Purchasing Document Bypassing Approval privilege to users who need to bypass approvals when updating purchase agreements using FBDI.

Search Agreements Using Header and Line Attributes

Steps to Enable

You need to enable the Redwood Manage Agreements Enabled (ORA_PO_MANAGE_AGREEMENTS_REDWOOD_ENABLED) profile option to access the new Purchase Agreements page. By default, this profile option is disabled. 

To enable the profile option, follow these steps:

  1. In the Setup and Maintenance work area, search and select the Manage Administrator Profile Values task.
  2. On the Manage Administrator Profile Values page, search for and select the profile option name or code.
  3. Set the Profile Value to Y.
  4. Click Save and Close. Changes in the profile value will affect users the next time they sign in.

To manage search capabilities for purchase agreements, follow this step:

  1. Submit the ESS job to create index definition and perform initial ingest to OSCS scheduled process with this index name:

Tips And Considerations

  • You can create a saved search so the application displays the records associated with your default saved search when you navigate to the new Purchase Agreements page. For example, you can create a saved search to display agreements created by a given buyer in a specific procurement business unit.
  • You can configure guided journeys for the new Purchase Agreements page and provide users with guidance such as tutorials, company policies, and best practices.
  • You can use Visual Builder Studio to configure business rules to:
    • Show or hide fields.
    • Filter the purchase agreements by adding new filters or removing filters that are available out of the box.
    • Sort the purchase agreements search results using additional agreement attributes.
  • The new Purchase Agreements page doesn't support these actions:
    • Modify or Perform control actions on the agreement. You can drill down to the View Agreement page to edit and perform control actions like Cancel, Finally Close, Freeze, and Hold.
    • Create a new purchase agreement. To create a purchase agreement, you can use the Create Purchase Agreement task available in the Purchase Order and Purchase Agreements work areas.

Extending Next Generation Supplier Self-Service Registration

Supplier Registration can have unique requirements based on factors like country and industry. If the information requested in the registration flow isn't tailored to the supplier based on these types of factors, it can be confusing and result in higher support costs with lower registration success rates. Tailor a seamless experience for your suppliers in the next generation supplier registration by using Business Rules from Oracle's Visual Builder Studio. Business Rules allow you to easily configure company details and now contacts and addresses pages; Offering a user-friendly interface to extend registration pages to make fields required or optional, read-only or editable, and shown or hidden. These properties can also be applied conditionally based on specific criteria such as country. With Business Rules, you can efficiently deliver a tailored registration experience for suppliers with lower support costs.

You can now configure individual attributes, including descriptive flexfields, on contacts and addresses pages and add conditions in business rules using country, organization type, supplier type, and business relationship attributes.  The following example shows a configured rule with conditions: if supplier is Prospective and in the United States, then; Phone is required for a contact, User Roles are read only, and the Receive Payments address purpose is hidden.

Consider these when you use this feature:

  • After update 24B, regions and fields for Contacts and Addresses page will appear in your existing business rules on company details.  Review these existing business rules and decide whether there's a need to enhance them for the Contacts and Addresses pages. If you don't change anything in contacts and addresses for existing business rules after update 24B, the default attribute properties will apply.
  • Other extension capabilities delivered in previous updates, such as adding instruction texts or hyperlinks using dynamic containers, will continue to function as is.
  • If you have implemented any extensions that aren't supported such as those on the dynamic components under layouts, or configured any constants, then you must delete them prior to update 24B. For more information, see Delete an Extension.
  • To rename attributes you need to use the user interface text tool editor.

Create Negotiation Cover Page with Generative AI

Leverage generative Artificial Intelligence (AI) to author the cover page text for your negotiation. Simply enter the key details like the title, synopsis, item categories, and significant dates, and then use the AI Assist to generate the cover page text. AI will use the information from the draft negotiation and suggest content to include for you to get started. If you like a suggestion, you can review and accept it. If not, you can always edit it before or after accepting it. You also have to option to regenerate and explore different contents and formats until you find the one that fits your needs.

After you enable the feature, the location of the Cover Page is shifted to the right, as last step before the Review.

When executing multiple-round negotiations it's important to have access to past scoring information throughout the entire process. For example, in a 2-stage negotiation suppliers are typically evaluated for technical and commercial requirements and then shortlisted for a new pricing only commercial round to provide a best and final offer. It's important for evaluators, and approvers to have access to scores from the prior round when finalizing award.

With this feature, you can now view the previous round's requirement scores of the suppliers during award analysis and approval and make an informed award decision based on scores and new round pricing.

Add Requisitions to Large Negotiations

Using the Large Negotiation feature, you can now process requisitions with thousands of lines. The awarded lines are automatically allocated to purchasing documents and requisitions fulfilled using background processing.

To use the feature:

  • Provide the requisition number and requisition line number backing each negotiation line in the lines import template (.XLSM) and import using the file-based data import process (FBDI). 
  • Supplier responses are captured, analyzed, and awarded using the background processes.
  • Make an award decision, the award quantity is then automatically allocated to satisfy the requisition demand when the Create Purchasing Documents background process is run.
  • Review the requisition line quantity allocations in the view line allocations UI, before creating purchasing documents in Purchasing. (Line allocations page is now enhanced to support lines search across the 3 tab views.)
  • Submit the Purchasing Documents background process, this creates the purchasing documents, which fulfills the requisition demand. Any unallocated requisition line quantity is returned back to the process requisitions pool.

Instead of conducting multiple negotiations, you can now process a large volume of requisition lines in a single negotiation, saving considerable time and effort.

Setup: Negotiation Style

To enable Large Negotiation feature, in the Setup and Maintenance work area, go to the Manage Negotiation Styles task.

On the Manage Negotiation Styles page, select and edit one of your existing negotiation styles, or create a new negotiation style. (You can't edit a predefined negotiation style.)

In Update 24B these features aren’t available for large negotiations with backing requisitions:

  • Grouping of multiple requisitions lines into a single negotiation line
  • Supplier suggestions from requisitions lines aren’t carried to negotiation supplier invitation list
  • Header and line attachments from requisition lines aren’t carried to the negotiation
  • Editing requisition line quantity allocations manually while creating purchasing documents
  • Reopen completed award action

In the PONNegotiationLinesImportTemplate.xlsm import negotiation lines FBDI template, following changes are done to capture requisition line information:

  • Added two new columns to LinesOrderOutcome sheet - Requisition, Requisition Line.
  • Added three new columns to LinesAgreementOutcome sheet - Requisitioning BU, Requisition, Requisition Line.

Default Team Member Scores from Previous Round

When a new round is created, all team member scores from the previous round are now copied over if the requirement remains unchanged. The scores are editable and can be updated in the current round if required.

This saves time for evaluators, epecially when there are a large number of requirements.

In negotiations that use composite scoring, technical and commercial round scores are now automatically defaulted in the new round for the best and final offer. This allows for the new round composite score to be calculated using requirement scores from the previous round, and pricing from the current round.

Consider these when you default team member scores from the previous round:

  • The scores are defaulted in the new round for the same requirements, provided the requirements remain unchanged.

Send Automatic Questionnaire Reminders for Initiatives

You can now leverage the same automated questionnaire reminders on standard initiatives as supported for survey initiatives. Automatic reminders extend touchless qualification capabilities, helping you increase response rates without additional work. Set response reminders and past due notifications according to a predetermined schedule based on the due date.  When using automatic requalification, the reminder schedule is carried over in each cycle, further reducing the need for your intervention.

To enable automatic reminders, first set a response due date then schedule up to three automatic reminders for responders. The first two reminders can be sent on or before the due date and the final reminder is sent after the due date. These automatic reminder notifications are optional. In the following example, the response due date for the supplier questionnaires is 29-Feb-2024. Three automatic reminders are then set for; 10 days prior to the due date, 2 days prior to the due date, and 5 days after the due date. If the example initiative includes internal questions, then another set of reminder fields would display to allow you to set up a different reminder schedule for the internal questionnaire here.

Steps to Enable

In the Scheduled Processes work area, schedule the ESS automated task Perform Automated Tasks for Supplier Qualifications to run every day. This automated task will send response reminder notifications according to the parameters set on initiatives. If you're already sending automatic reminders for survey initiatives, this is the same ESS task that you need to run. No action is needed if this task is already scheduled.

When you duplicate an initiative, the values for reminders are copied onto the new initiative.

Support Additional Scoring Precision

Calculate scores with two decimals of precision for each question response. Enhanced scoring precision provides more accuracy when aggregating scores from multiple survey responses and comparing qualification and assessment results. Since the qualification outcome is derived by a total score which is rounded, it can be challenging to compare suppliers. For example, two suppliers may have the same outcome of Qualified with the same score. Now you can use the non-rounded score with two-decimal precision to compare and rank suppliers with improved trend analysis.

When you evaluate survey qualifications, you can now see the aggregate score with two decimal places. You can also enter aggregate score with the same precision for manually scored questions.

When you finalize the qualification, you can override the qualification score and enter the override score with two decimal places.  However, the overall qualification score on the qualification overview page will continue to be rounded and displayed without decimals as it's used to derive the qualification outcome based on the setup.

In OTBI, the qualification score, qualification original score, assessment score, and response score are shown in decimal format for reporting and comparison. This allows you to better compare suppliers especially when they share the same response value or qualification outcome.

You can now create supplier contacts in the Parties tab of the contract. The ability to create the contact while authoring a contract accelerates the contract creation process. The Create Contact button is enabled for supplier and other third-party roles of a procurement contract.

Contract managers don't need to rely on the supplier manager to create a supplier contact. Being able to create the contact within the contract UI enhances the efficiency of the contract authoring process and shortens the lead time for contract creation.

Apply Expiry and Reminder Settings in Contract Envelopes from DocuSign Account

If DocuSign is your e-signature provider, you have the option to default the expiry and notifications settings in the contract envelopes from the DocuSign account. If the Apply account level reminders and expiration settings check box is selected in the Manage Electronic Signature UI, the contract documents that are sent for signature will have the values defaulted. The check box is deselected by default.
